Operations

How much does a digital employee cost?

A useful cost estimate starts with the role and the work it will handle. Setup, usage, connected tools, communication channels and human review all affect the operating cost. This guide explains what to include in a quote request; it does not publish or imply a Uniforce price.

Setup, usage, connections and human review as components of operating cost

Define the scope before comparing prices

A role answering approved product questions has a different scope from a department coordinating service cases, checking records and requesting policy exceptions. Compare proposals against the same responsibilities, volume and review requirements.

Specify the recurring tasks, expected channels and actions the role is allowed to take. Distinguish the work planned for launch from possible later expansion.

Count setup and ongoing operation

Ask what is included, what is charged separately and how usage is measured. The following categories are a scoping checklist, not a statement of a particular pricing model.

CategoryQuestions to ask
SetupWho defines the role, prepares knowledge and tests the workflow?
UsageHow are work volume, conversations or other usage measured?
ConnectionsWhich systems require configuration or custom work?
ChannelsAre calling or messaging provider charges separate?
Human oversightWho reviews exceptions and maintains instructions?

One role and a department need different briefs

For one role, document its mission, sources, tools and owner. For a department, also describe handoffs, shared knowledge, access differences and who reviews cross-role decisions. More roles do not automatically mean a fixed multiple of the cost.

Record the time your team spends reviewing and correcting work alongside system costs. Capacity released for other work is useful, but it is not automatically a reduction in cash expenses.

Bring these details to the conversation

Prepare a short brief with the role, approximate workload, channels, existing systems, knowledge sources and human approval requirements. Note the exceptions that occur often and any systems that cannot yet be connected.

Ask for the proposed launch scope, responsibilities on both sides, cost assumptions and what would change the estimate. A clear brief makes it easier to compare options and begin with a manageable workflow.

Common questions

Is there a single fixed price for every digital employee?

This guide does not state an approved fixed price. Clarify the role, workload, setup and operating requirements when requesting a proposal.

What should I prepare for a quote?

The role and tasks, anticipated workload, communication channels, connected systems, knowledge sources and human review requirements.

Does automation remove the need for review?

Include the people who review exceptions, maintain instructions and check outcomes in the operating plan. Their time is part of the cost comparison.
